This Privacy Policy explains how PawthosX Labs LLC handles personal information when you use The Veterinary Assembly (TVA), including the choices and rights available under applicable privacy laws.
Effective August 19, 2026 · Version 2026-08-19
Controller / business
PawthosX Labs LLC operates TVA and is the entity responsible for the personal information described in this Policy. Privacy questions and rights requests can be sent to assembly@pawthosx.com.
Information TVA collects
Account and verification: name, email, username, authentication identifiers, professional role, credentials, workplace or school/program information, verification evidence, and verification decisions.
Profile and social graph: profile and cover photos, biography, interests, Ask Me About topics, My Crew information, followers/following, Assemblies, invitations, blocks, mutes, and profile preferences.
Member content: discussions, replies, Clinical Cases, case updates, files, reactions, votes, shares, reports, and related activity.
Security and operations: session/account events, moderation records, audit records, device/browser information sent in ordinary web requests, and information needed to detect abuse or protect the service.
Optional analytics: if you allow analytics, TVA may collect privacy-limited product usage through Google Analytics 4 and Microsoft Clarity. TVA does not intentionally send post bodies, clinical-case text, search terms, member emails, or pet names as custom analytics events.
Why TVA uses information
TVA uses personal information to authenticate members, verify veterinary affiliation, provide profiles and social/community features, deliver notifications, enforce access controls, operate Clinical Cases, support member sharing, prevent abuse, investigate reports, maintain security, satisfy legal obligations, and improve the product.
Where European or UK data-protection law applies, core account and service processing may be based on performance of a contract; security, fraud prevention, and platform integrity may rely on legitimate interests; legal/compliance processing may rely on legal obligations; and optional analytics rely on consent.
Anonymous participation
Anonymous posting hides your identity from ordinary TVA members through normal product features. It does not make your account untraceable to TVA.
TVA retains the internal author relationship so authorized moderators can investigate threats, harassment, doxxing, privacy violations, fraud, and other serious safety or legal issues. Blocking another member does not reveal or infer anonymous authorship.
Clinical and community content
Access to content is restricted according to Assembly visibility, membership, blocks, moderation state, and other access rules. Clinical media may use private storage and signed access controls.
Members must remove unnecessary identifying information before posting. TVA may use automated and human privacy checks, blurring, warnings, and quarantine, but no automated detector can identify every possible disclosure.
Cookies, analytics, and Global Privacy Control
Strictly necessary cookies and similar storage support authentication, session security, abuse prevention, consent storage, and core preferences. They cannot be disabled through TVA's analytics controls.
Optional analytics are globally opt-in in TVA: Google Analytics 4 and Microsoft Clarity do not load through TVA's analytics loader until you allow analytics. Google advertising storage, advertising user data, and ad-personalization signals remain disabled.
TVA configures the application shell to mask page content for Microsoft Clarity. You can allow or reject optional analytics with comparable controls and change your choice later at Privacy choices.
If your browser sends a recognized Global Privacy Control (GPC) signal, TVA treats it conservatively as a direction to keep optional analytics disabled on that browser.
Selling, advertising, and disclosures
TVA does not sell personal information. TVA does not intentionally disclose personal information for cross-context behavioral advertising and does not enable Google advertising storage or ad personalization through this analytics implementation.
TVA may disclose information to service providers that support authentication, hosting, storage, security, moderation, communications, and consented analytics; to other members as directed by your use and privacy settings; in a corporate transaction; or when reasonably necessary to comply with law, protect rights and safety, investigate fraud or abuse, or enforce agreements.
International processing
TVA is operated from the United States. Depending on provider configuration and where you use TVA, information may be processed in the United States and other countries. Where applicable law requires safeguards for international transfers, TVA will use appropriate contractual or other lawful transfer mechanisms.
Retention and deletion
TVA keeps personal information for as long as reasonably needed to provide the account and features you use, protect the network, resolve disputes, satisfy legal obligations, and maintain legitimate audit and safety records.
Deleting or anonymizing an account does not necessarily erase moderation evidence, reports, audit trails, security records, backups, or content relationships that must be retained for safety, legal, fraud-prevention, or conversation-integrity reasons. TVA will minimize or anonymize retained information where reasonably possible.
European Economic Area and UK rights
Where GDPR or UK GDPR applies, you may have rights to access, correct, erase, restrict or object to certain processing, receive certain data in portable form, withdraw consent, and lodge a complaint with a competent supervisory authority. Withdrawing analytics consent does not affect the lawfulness of processing that occurred before withdrawal.
Some rights are subject to exceptions, including where information must be retained for legal claims, security, moderation integrity, or other lawful purposes.
California and other U.S. state privacy rights
Depending on where you live and whether a particular state privacy law applies to TVA, you may have rights to know/access categories or specific pieces of personal information, correct inaccurate information, request deletion, obtain a portable copy, opt out of certain sale/sharing or targeted-advertising uses, limit certain uses of sensitive personal information, and receive equal service for exercising privacy rights.
TVA's current product policy is not to sell personal information or use it for cross-context behavioral advertising. TVA also honors recognized GPC signals by disabling optional analytics on that browser. If applicable law gives you a right to appeal a privacy-request decision, reply to the decision with the subject "Privacy Appeal."
How to exercise privacy rights
You can correct much of your profile directly in TVA and change analytics at any time from Privacy choices or Privacy & Analytics settings when signed in.
For access, deletion, portability, restriction, objection, appeal, or other statutory privacy requests, email assembly@pawthosx.com. TVA may need to verify identity for requests where verification is legally permitted or required, but will not require unnecessary information for opt-out choices.
Security and trust & safety
TVA uses access controls, authentication, moderation systems, audit records, private/signed media patterns, and other administrative and technical safeguards designed for a private professional network. No internet service can guarantee absolute security.
Serious reports such as threats, doxxing, privacy exposure, self-harm concerns, and potentially illegal content may cause immediate quarantine while an authorized moderator reviews the material.
Age eligibility
TVA is intended for people who are at least 18 years old. TVA is not intended for children, and members confirm age eligibility during onboarding.
Policy changes
TVA may update this Privacy Policy as the product, vendors, or legal requirements change. Material updates may require renewed acknowledgement before member-only access continues.
